Terms of Service
Last updated October 24, 2026
Plain-language terms for using SmoothFlo. Please read them: by creating an account, you agree to them.
1. This agreement
These Terms are an agreement between SmoothFlo (“we”, “us”) and the company or person that creates a SmoothFlo account (“you”). They cover smoothflo.app, the SmoothFlo app on phones and computers, and the SmoothFlo Telegram assistant (together, the “Service”).
By creating an account or using the Service you agree to these Terms and to our Privacy Policy. If you sign up for a company, you confirm you're allowed to accept these Terms for it.
2. What SmoothFlo does
SmoothFlo is software for trade companies: leads and follow-ups, estimates and proposals, e-signatures, scheduling, crews and time clock, door knocking, invoices, expenses, staff pay and job costing.
We keep improving the Service, so features may be added, changed or removed. If we remove something important you pay for, we'll tell you ahead of time.
3. Your account and your team
- Give accurate details when you sign up and keep them up to date.
- Keep passwords private. We recommend turning on two-step verification.
- You choose who to invite and what role each person has. You're responsible for what people on your account do in it.
- Tell us straight away at team@smoothflo.app if you think someone got into your account without permission.
4. Free trial, plans and payment
- New companies start with a free trial. When it ends, the Service continues on the plan you choose, at the prices shown on our pricing page when you subscribe.
- Plans are billed monthly or yearly in advance, by invoice or another payment method we offer. Prices don't include sales taxes (such as HST or GST), which are added where they apply.
- If an invoice goes unpaid for more than 14 days after we've reminded you, we may limit or pause the account until it's paid. Your data is kept while it's paused.
- We'll give you at least 30 days' notice before a price change affects you. It applies from your next billing period.
- Fees already paid aren't refunded for part of a period, except where the law requires it.
5. Cancelling and closing your account
You can cancel any time by emailing team@smoothflo.app. You keep access until the end of the period you've paid for. You can download your data (for example the spreadsheet downloads in the app) before then.
After an account closes, we delete its data within 90 days, except copies in backups (removed as backups roll over, within 30 days after that) and records we must keep by law, such as the invoices we sent you.
6. Your data
Everything your company puts into SmoothFlo stays yours: your customers, estimates, photos, invoices, notes and the rest (“Your Data”). You let us store, copy and process Your Data only as needed to run the Service for you, keep it secure and back it up. We don't sell it and we don't use it for advertising.
Your Data includes details about your own customers and staff. You're responsible for having the right to collect and use that information, and for following the laws that apply to you, such as privacy laws and anti-spam laws (in Canada, PIPEDA and CASL) when you email or text customers. For that information we act on your behalf and follow your instructions.
7. Acceptable use
Don't use the Service to:
- break the law, or mislead, harass or spam anyone;
- upload anything you don't have the right to share, or anything harmful such as malware;
- get into accounts or data that aren't yours, test or get around our security, or overload the Service;
- copy, resell or rebuild the Service, or scrape it with automated tools (the webhooks and downloads we provide are fine).
When door knocking, follow local bylaws and respect “no soliciting” signs and do-not-knock requests.
8. Estimates, contracts and e-signatures
SmoothFlo helps you send estimates, change orders and invoices and collect e-signatures, but the agreement on each job is between you and your customer. We aren't part of it. You're responsible for your prices, taxes, warranties and the wording you use, including any starter wording we provide, which is a general template and not legal advice.
9. Other services
Some features work with other companies' services, such as Telegram, Google, Apple and Microsoft calendars, email, and map tiles from OpenStreetMap. Using those features means their own terms also apply, and we're not responsible for how those services work.
10. Availability and backups
We work to keep the Service running and back up data every night, but we can't promise it will never be interrupted, slow or have errors. We may briefly take it offline for maintenance, usually at quiet times.
11. No warranty
Apart from what these Terms say, the Service is provided “as is” and “as available”, without other promises or warranties, to the extent the law allows. Check important figures, such as prices, taxes and pay, before you rely on them.
12. Limits on liability
To the extent the law allows:
- we're not liable for indirect or consequential losses, such as lost profits, lost jobs or lost data you could have exported;
- our total liability for any claim about the Service is limited to the fees you paid us in the 12 months before the claim.
Nothing in these Terms limits liability that can't be limited by law.
13. Claims about your use
If someone makes a claim against us because of Your Data or how you or your team used the Service in breach of these Terms or the law, you'll cover our reasonable costs of dealing with it.
14. Suspension and termination
We may suspend or close an account that seriously or repeatedly breaks these Terms, puts other users or the Service at risk, or isn't paid. Unless it's urgent, we'll tell you first and give you a chance to fix it.
15. Changes to these Terms
We may update these Terms. For important changes we'll tell account owners by email or in the app at least 30 days before they take effect. Continuing to use the Service after that means you accept them. The date at the top shows when they last changed.
16. Governing law
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there. Any dispute goes to the courts of Ontario.
